Position Description:

Do you enjoy working with data, keeping things organized, and making projects run smoothly? At CGI, we're looking for someone who will support our Project Managers and Vendor Management team in daily operations and project development.

Job responsibilities: Supporting Project Managers in planning, coordinating and executing project activities, including:

  • Key project data analysis: validating accuracy of project data (consumption, rates, duration, expenses etc.) and identifying and correcting discrepancies
  • Managing complex reports
  • Maintaining project financial data in compliance with corporate and SOX requirements
  • Sales invoice issuance
  • Communication to stakeholders
  • Onboarding and offboarding project members, access management
  • Preparing materials for bid-offers
  • Maintaining project documentation
  • Vendor management, including:

    • Onboarding and offboarding Vendors
    • Master data management
    • Creating Purchase Orders
    • Payables management: tracking and managing exceptions, monitoring payments' statuses
    • Managing queries and issues
    • Resolving Vendor queries and issues
    Required Qualifications To Be Successful In This Role:

    • Excellent attention to detail and confidence working with numbers and data analysis; a strong analytical mindset

    • Proficiency in Microsoft 365, including Word, Excel, PowerPoint, Outlook, and Copilot; strong overall technical aptitude

    • Curiosity and ability to learn quickly, with strong listening skills and good memory; proactive in searching for answers and solutions

    • Strong communication skills, with the ability to express ideas clearly and concisely and report issues promptly, both in English (B2 or higher) and Polish (native)

    • Strong organizational skills and the ability to deliver high-quality work within deadlines

    • A collaborative and inclusive mindset, with awareness of others' needs and a supportive approach to teamwork

    • Availability of at least 32 hours per week, with the possibility of moving to full-time in the near future

    Nice to have:

    • Previous experience in accounting, administration, project coordination/management, reception, or executive assistance

    • Basic knowledge or interest in the IT industry
