<p>About the job<br /> LOOKING FOR SOUTH AFRICAN CITIZENS WHO ARE BASED IN SOUTH AFRICA CANDIDATES</p> <p>Position : Executive Assistant</p> <p>Working Schedule : Mon-Fri 10-6 EST (Flex Saturday as needed)</p> <p>Salary Range : $1700 &#8211; $2000 USD Monthly (the final salary will be determined by the candidate&#8217;s level of experience and at the discretion of the client</p> <p>Job Summary</p> <p>The Executive Assistant will act as the client&#8217;s &#8220;second brain,&#8221; providing comprehensive administrative and operational support. This role is responsible for managing all aspects of the client&#8217;s professional and personal life, from complex travel logistics to day-to-day scheduling. The ideal candidate is an extremely organized, tech-savvy self-starter who can anticipate needs and proactively build systems to ensure a smooth, efficient workflow.</p> <p>Responsibilities</p> <p>Calendar and Schedule Management: Own and manage the client&#8217;s professional and personal calendar, including scheduling meetings, interviews, and appointments (e.g., calls, dinners, rentals).<br /> Travel Coordination: Handle all travel logistics, including booking flights, accommodations, and ground transportation. This also includes arranging international needs such as SIM cards, data access, and internet connectivity across multiple states or countries.<br /> Operational Support: Act as a key point of contact for light customer communications, outbound confirmations, and vendor coordination.<br /> System and Process Design: Build and maintain organized, tech-enabled systems and standard operating procedures (SOPs) to streamline all aspects of the client&#8217;s operations. The client should be able to simply &#8220;show up and go.&#8221;<br /> Proactive Anticipation: Anticipate the client&#8217;s needs before they are asked, reminding them of key tasks and upcoming travel arrangements.<br /> Problem-Solving: Tackle daily challenges with critical thinking and problem-solving skills, handling ambiguous or tense situations with poise.</p> <p>Qualifications</p> <p>3+ years of direct Executive and Personal Assistant experience<br /> Proven experience in calendar and travel coordination, preferably with a business-focused background rather than purely personal.</p> <p>Technical Skills:</p> <p>Advanced proficiency in Google Workspace (Calendar, Sheets, Drive) and comfortable with project management systems, CRMs, and remote communication tools. Must be capable of setting up tech-enabled systems independently.</p> <p>Organizational Skills:</p> <p>Extremely organized and detail-oriented, with a demonstrated ability to manage multiple moving parts and small logistics.</p> <p>Soft Skills:<br /> Hyper-reliable: The client must be able to trust your follow-through blindly.<br /> Proactive and Intuitive: You don&#8217;t wait for instructions; you build the process and own it.<br /> Confident Communicator: Able to ask clarifying questions, reflect back instructions, and own conversations.</p> <p>Adaptable:</p> <p>Capable of pivoting quickly in a fast-changing industry.</p> <p>Emotionally Intelligent:</p> <p>Understand and respond empathetically to client distress.</p> <p>Work Environment</p> <p>This is a role for someone who is comfortable being the client’s &#8220;right hand&#8221; with full operational awareness and ownership.<br /> The industry changes fast, requiring a high degree of adaptability and a positive, problem-solving attitude.</p>
