About the Role

Step into a role that balances data accuracy with the art of transcription. As our Virtual Data & Transcription Support Specialist, you'll alternate between entering high-volume numeric data and converting client audio files into clear written reports. Along the way, you'll be the friendly liaison who greets new clients, answers project questions, and keeps everyone on the same page. Choose a schedule that works for you whether you want 25-30 hours each week (part-time) or 35-40 hours (full-time)and set your own hours when you do your best work.

What You'll Do

Data Entry: Keep our systems up to date by entering transactional information orders, inventory logs, shipping details with speed and accuracy.

Transcription: Listen to client recordings and type up everything as clean, polished documents. You'll learn our preferred style guides, so each transcript is consistent and easy to read.

Client Communication: Host quick video calls or chat sessions to understand exactly what each client needs deadlines, formatting preferences, special requests and make sure we never miss a detail.

Task Assignment: Use tools like Monday.com or Asana to assign tasks to our data and typing teams. Check in regularly to confirm every ones on track.

Quality Reviews: Examine both spreadsheets and transcribed documents for errors. Run through our checklists so we hit at least 99 percent accuracy.

Weekly Updates: Create brief status reports for clients that show progress, flag any issues, and outline the next steps.

Team Training: Write short how-to guides, record simple tutorial videos, and host informal lunch-and-learn sessions to share new tips and tricks with teammates.

Who You Are

You've completed an associate degree or have equivalent experience in an administrative or technical field extra points if you've taken classes in office technology or data processing.

You have one to two years of data entry or transcription under your belt (class projects count!). You're comfortable switching between numeric spreadsheets and text documents.

You're a people person who enjoys chatting with clients, asking questions, and making them feel heard. Clear, friendly communication comes naturally to you.

You know your way around Excel (or Google Sheets) and basic audio tools like Express Scribe or Audacity no advanced editing required, but you can trim pauses and adjust volume when needed.

You juggle tasks easily, prioritize multiple deadlines, and write in a way that's concise, accurate, and professional.

You have a quiet home office or workspace with reliable internet so no interruptions when you're on a client call or deep into a big transcription file.
