Overview
We are seeking a dynamic and highly organized Virtual Assistant to join our team! Duties

  • Manage calendar appointments, schedule meetings, and coordinate events using Simple practice and spruce health communication app
  • Handle incoming calls via multi-line phone systems with professionalism and courtesy, practicing excellent phone etiquette
  • Provide customer support by responding promptly to inquiries via email, chat, or phone
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization
  • Support office management functions such as front desk duties, filing systems, starting charts and
  • Conduct basic clerical tasks including typing, data entry, and document formatting to meet organizational standards
  • Manage correspondence and follow-up communications efficiently to keep projects on track
  • Coordinate with clients or team members in multiple languages if bilingual skills are available

Qualifications

  • Proven experience in office administration or as a personal assistant with strong organizational skills
  • Proficiency in Simple Practice, Spruce Health Communication, Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Excellent computer literacy including data entry, typing speed, and file management
  • Strong communication skills with good phone etiquette; bilingual ability is a plus
  • Demonstrated ability to prioritize tasks effectively using time management techniques
  • Previous experience with office management or clerical roles preferred
  • Attention to detail for proofreading documents and maintaining accurate records
  • Ability to handle multiple responsibilities simultaneously while maintaining professionalism
