Position summary:
This position provides administrative support to the Pacific Legacy team. This role is critical to our client experience and requires a friendly, upbeat demeanor. This individual will support the daily operations of the practice, including, but not limited to: Case prepping client meetings, preparing client meeting summary letters, using Copilot & other Thrivent Financial computer systems and programs in support of client relations, and other administrative tasks as assigned. The Office Professional reports to and is employed by Pacific Legacy Group.

Pay range is $23/hr - remote 1099 position.

Job Description

Position Roles/Responsibilities/Accountabilities

  • Handles incoming telephone calls to Pacific Legacy Group and responds to requests for information
  • Using Microsoft OneNote and existing Pacific Legacy systems to complete the following:
    • Keep calendar full and organized
    • Help manage new business and call clients with updates to keep the flow of business moving
    • Manage review meetings with brokerage clients to ensure each client gets 2 meetings per year
    • Manage tasks in OneNote
  • Prepare meeting prep for each meeting, 3 days prior to the appointment
  • Update meeting report and client profiles after each meeting
  • Prepare meeting summary letter to be approved, and emailed to each client within 48 hours
  • Upload notes to Salesforce client profile
  • Completes other miscellaneous tasks as assigned

 Position Qualifications

  • Experience using AI/Copilot to leverage efficiency in the workplace
  • Previous administrative/secretarial experience desired
  • Strong technical computer aptitude and knowledge of business tools (e.g., Microsoft Word, Excel, PowerPoint) or ability to learn
  • Ability to handle multiple tasks and maintain a high quality of work while experiencing frequent interruptions
  • Ability to maintain integrity of sensitive/confidential information
  • Basic understanding of our products, services, and Thrivent Financial

As part of Pacific Legacy Group recruiting/hiring/contracting process, a verification of a candidate's background will be made to complete the hiring/contracting process.
